Proposal knowledge base and answer reuse
A proposal knowledge base for historical RFP answers. BidosAI indexes approved matrices and retrieves them with source, similarity, and review.
A folder is not a knowledge base
Proposal knowledge base searches usually come from teams drowning in last year's Word files. Reuse fails because nothing is approved, classified, or retrievable against a new row.
BidosAI indexes past matrices and Q&A. Retrieval is hybrid (lexical plus embeddings) so 'maker-checker' and 'four-eye' can land in the same bucket.
What should be retrievable
- Historical RFP knowledge base — Past compliance matrices, Q&A packs, and approved answers are indexed with hybrid lexical and embedding retrieval. Matches carry source artifact, similarity, and reviewer identity.
- Compliance matrix autofill — Matched historical answers fill Excel-style response grids. Below the configured similarity threshold, cells stay empty rather than inventing unsupported claims.
- Governance and deployment — SSO, role-based access, tenant isolation, audit events, and private-deployment patterns are available for regulated bid teams. Public pages do not claim a SOC 2 or ISO certificate.
Drafts should not be candidates. Rejected answers should remain visible as history so they are not quietly reused. Tenant isolation still applies.
Approved answers grouped by category with source bid
Start with winning and finalist packs from the last two to three years. Coverage is accepted rows, not file count.
Governance that keeps the library honest
Each reuse records source, similarity, and reviewer action. That is how a global practice shares one library without shipping a regional variant of the same control.
The canonical product pages remain Historical RFP Knowledge Base and RFP response reuse.
Library hygiene measures
- Share of answers with an owner
- Rejected rows that stayed out of retrieval
- Category coverage on security versus commercial
- Duplicate near-matches that should have been merged
Those are operating measures for a workspace. They are not published customer results.
Migration from SharePoint
Do not boil the ocean. Ingest scored matrices first; they are the format issuers already use. Narrative boilerplate can wait until row-level reuse is trusted.

Worked example, not a measured result
The figures in older drafts of these pages described a fictional cohort. They have been removed. A workspace can show requirements, compliance rows, gaps, and assumptions for a package you upload. That screen is not a statistic about other customers.

Frequently asked questions
What belongs in a proposal knowledge base?
Approved matrices, Q&A packs, and reviewed answers. Drafts should not be retrieval candidates.
How does reuse avoid copy-paste drift?
Matching is at requirement level with a score. Reviewers see the source instead of pasting from last year's workbook.
How large does the library need to be?
Start with winning and finalist packs from the last 24–36 months. Coverage grows with accepted rows, not with raw file count.
Can offshore and onshore teams share one library?
Yes, inside a tenant with role-based access. Workspace isolation still applies per pursuit.
What if an answer was rejected on a later bid?
Rejection is part of the record. That outcome should influence whether the text stays approved.
