How to Evaluate AI RFP Response Software

Questions to ask when you evaluate AI RFP software, using a package you already understand and a matrix you can audit line by line.

Evaluating AI RFP software is a workflow test, not a feature-grid exercise. You are checking whether a tool can show its work on a package you already understand. This guide is that test. A shorter comparison lives at proposal libraries versus a bid workspace.

What to bring to the evaluation

Use a past RFP you are allowed to share, with the compliance matrix you actually submitted. Hide customer names if you must. If you cannot share a real file, use the vendor's sample and treat the result as a demonstration, which is what the BidosAI public workspace already is.

Questions that separate tools

  1. Can you open the source section from a requirement row?
  2. When an answer is reused, can you see the historical artifact it came from?
  3. What happens on a requirement the product does not meet? A silent "compliant" is a fail.
  4. Can a reviewer reject a drafted row without deleting the requirement?
  5. Are effort and price assumptions visible next to the gaps, or in a separate spreadsheet nobody links?
  6. What does the tool do with your file after the trial? Read the privacy note before you upload.

How to read a demo

Ask the vendor to label sample data. BidosAI's public workspace is precomputed demonstration data. A live upload is a different step and is not offered on the public marketing host. Request a demo if you want a person to walk through the sequence.

Limitations

This page is not a ranking of vendors and it does not award scores. A tool that writes fluent prose and hides the source will look better in a five-minute demo than it will in an audit. Prefer the matrix you can defend.

Frequently asked questions

What should an evaluation use as the test?

A package you already understand, and the matrix you can compare against the tool's output. A vendor sample is a demonstration, not proof on your documents.
